This policy explains what information BBehavior Autism Services collects through bbehavior.com, how it is used and protected, and the choices you have. Once you become a client, your health information is protected under HIPAA and described in our Notice of Privacy Practices, which our office can provide at any time. Our optional client text messaging program has its own Text Messaging Privacy Policy and Terms and Conditions.
Information You Send Us
When you complete our online intake, you may share information about your child and family, such as names, date of birth, contact details, address, insurance details and photos of insurance cards, diagnosis information and reports, scheduling preferences, and your electronic signature on our consents. When you apply for a job, you share your contact details, experience and your CV.
These forms are sent from your browser directly to Attune, BBehavior’s secure client and staff management system, over an encrypted connection. They are not stored on the website’s server. While you fill in the intake, your progress is kept only in that browser tab so a refresh doesn’t lose your place; it is cleared when you submit, choose “Clear my answers”, or close the tab.
The Autism Signs Checklist
The checklist on our website is not sent to us. Your answers stay in your browser tab, and are carried into the intake form only if you choose to continue to it in the same tab. Closing the tab clears them.
Reviews
If you share a review, we keep the name you enter (shown as first name and last initial), your relationship or role, your rating, the service you choose, and what you write. Reviews are published only after BBehavior approves them, and our office is notified by email when one arrives. Until then, a copy is kept in your own browser so you can see it as pending. To prevent abuse, we keep a one-way scrambled form of your internet address for up to an hour; it cannot be turned back into the address.
Please don’t include health information, your child’s name, or other private details in a review.
Our Chat Assistant
The chat assistant on our home page is provided by a third party, Elfsight, and runs on its servers. What you type into the chat, and any contact details you choose to give it, are processed by that provider. Please don’t share health information or details about your child in the chat. The chat assistant is not used on our intake or job application pages.
Calls, Email and Texts
When you call or email us, we use what you share to respond to you and to help you get started with services. Our optional text messaging program is covered by its own Text Messaging Privacy Policy. We do not sell, rent, or share mobile information or messaging consent with third parties or affiliates for marketing or promotional purposes.
How We Use and Share Information
We use the information you send us to respond to you, review your child’s needs and insurance, schedule care, match your family with a therapist, consider job applications, and run and protect our website and services. We do not sell your personal information. We share it only with service providers who help us operate, such as our hosting, client management and communications providers, under obligations to protect it, and when required by law.
Protecting Health Information
Health information you provide as part of intake or care is protected health information (PHI) under HIPAA. It may include medical, developmental, behavioral, treatment, insurance, billing, and service-related information. BBehavior may use and disclose PHI for treatment, payment, and healthcare operations as permitted or required by law, and does not release it beyond what the law permits or our Notice of Privacy Practices describes.
BBehavior is required by law to protect the privacy and security of PHI, to follow the privacy practices described in its Notice of Privacy Practices, and to notify you if a breach occurs that may compromise the privacy or security of your information. You can get a paper copy of the Notice of Privacy Practices at any time by asking a staff member or contacting our office.
Access is limited to authorized personnel. No website or online transmission is perfectly secure, so please use our forms or call our office for anything sensitive, rather than email, chat, or text.
Children’s Privacy
Our website is intended for parents, caregivers, and professionals. Information about a child is provided by a parent or legal guardian. We do not knowingly collect personal information directly from children under 13 through this website.
Your Choices and Rights
You may ask to access or correct information you have given us, or ask about deleting it, subject to the records we are required to keep. Clients have additional rights over their health information, described in our Notice of Privacy Practices.
